A small reference notebook
Use file names as small pieces of context
Describe the contents
A helpful name makes a document distinguishable from its neighbours. Prefer a short description of the subject to a label that could apply to every file in a folder. The goal is recognition, not an exhaustive description of the document.
Keep time meaningful
Dates help when a document is a record of a particular observation or decision. They are less useful when they pretend that an old observation is current. Put the observation time in the text as well when that time affects how the evidence should be interpreted.
Leave a usable handoff
Someone returning later should be able to find the current document and understand which earlier records explain it. A short link and a clear status are often enough. Keeping every draft equally prominent makes a folder harder to use, even when nothing has been lost.
